Planning Your Webcast

Step 1
  • Determine your live and digital audience sizes.
  • Determine your communication goals.
  • Then, phone OBC and we'll discuss your project with you from the ground floor. (There's no obligation.)

Hint:

You might want to review OBC's Webcast Options and the OBC Showcase of webcast examples before starting to plan.

Step 2 - Streaming Audio or Video

Determine whether your webcast should be video or audio.

If your project is strongly visual - for example, a training module or a product launch - video is obviously the answer.

However, other powerful benefits point to choosing video for your webcast:
  • You want your audience to connect strongly with your presenter.
  • The credibility of your presenter is important to your goals.
  • You want to maximize the viewing time of your online audience.

Even for "everyday" events, such as IR quarterly calls, video is fast becoming the standard. But audio is certainly acceptable for this purpose too if you prefer.

Hint: Provide your webcast supplier with a digital copy of your logo that is the highest possible quality and resolution. We prefer EPS or PSD formatted images to preserve quality; however, we accept PNG, GIF and JPG formats as well.

Hint: Ensure your presenter avoids wearing stripes of any kind for the event. Stripes produce jumpy, wavy lines and are impossible to watch.

Step 3 - Live Webcast, On Demand Webcast or Both?

Decide on whether your webcast will be live only, posted on your site for on-demand usage - or both. (Your communication goals point to the right answer. Again, most corporations post all their webcasts for a period of time, choosing on-demand as well as live webcast.)

Step 4 - Slides?
  • Will your webcast (video or audio) involve a PowerPoint presentation? If yes, see PointPoint tips from our technician on this page, to the right.
  • Do you want the slides synchronized with the presenter's remarks?
  • Do you want them indexed for viewer controlled on-demand viewing, after the event? You don't have to do anything about these options once you decide, except to inform your webcast production team as early in the planning stage as possible.
Step 5 - Webcast Options

Decide on other options, such as Question & Answer manager for live interactivity with your online audience, Indexing for post-event usage - and many others. OBC Webcast Options

Step 6 - Live Event Needs

For your live event, do you need an AV Live Event supplier?

Hint: OBC offers this service directly, or we are happy to work with your favourite Event supplier.

Step 7 - Contact OBC Canada's National Webcaster.

Tips for Webcasting PowerPoint
  • Plain, non-serif fonts like Verdana, Arial and Tahoma show best, with Verdana the top pick of OBC's technical team.
  • Avoid all fancy type treatments, like shading, drop-shadows, boxes, lines.
  • Minimum 18-point font.
  • The best background is no background. Overall simple is best, both for transmission and readability.

Or, much easier: Simply email your slide presentation to OBC, and we'll optimize and synchronize it for webcast.

Submitting PowerPoint
  • Your PowerPoint presentation may be submitted by email. OBC will size it correctly for the webcast.
  • 48 hours in advance is our non-rush minimum lead-time for non-synchronized slide preparation.
  • 72 hours in advance is the requested lead-time for synchronized or indexed slides.
